What should a quote include in South Africa?

No law sets a layout for a quote, but a clear one prevents most disputes later. It should let the client see exactly what they are agreeing to, and for how long the price stands:

  • Your business name and contact details, and your client’s name and contact details
  • A quote number and the date of the quote, so both sides can refer to it later
  • A validity period: the date the quote is valid until
  • Itemised prices: each item or service with a description, quantity and unit price
  • The total, and whether it includes or excludes VAT if you are a VAT vendor
  • Your terms: deposit, payment terms, what is excluded, and what happens if the scope changes

VAT vendor? Say whether your prices include VAT.

If you are registered for VAT, state on the quote whether the prices include or exclude VAT at 15%, so there is no argument about the total later. A quote is not a tax invoice and cannot be used to claim input VAT; you issue the tax invoice once the work is done. See how to create a VAT invoice.

How long should a quote be valid?

No law sets a validity period for a business quote. It is your choice, and common practice is:

30 days for services priced mostly on your own time, such as design, consulting or bookkeeping. Your rate is unlikely to change in a month.

14 days for jobs with a mix of labour and materials, where supplier prices can move.

7 days or less when a large part of the price depends on materials, fuel or exchange rates that change often, or when your availability is limited.

Whatever you choose, print the actual date the quote is valid until rather than only a number of days, so neither side has to work it out. After that date you can honour the price or send a new quote.

Do I need to create an account?
No. You can build and download a quote without signing up. A free Rebill account is optional: it lets your client accept the quote online and turns an accepted quote into an invoice in one click.
How long should a quote be valid for?
There is no set period in law. In practice most South African small businesses quote for 14 or 30 days. Use a shorter period, such as 7 days, when your material or supplier prices move often, and state the valid until date on the quote itself.
Is a quote legally binding in South Africa?
A quote is an offer. It becomes binding when the client accepts it, and the accepted quote then sets the price and scope you agreed. Until then the client can accept, negotiate or decline, and once the validity period ends you are free to requote.
What is the difference between a quote and a pro forma invoice?
A quote is an offer for the client to accept. A pro forma invoice is an estimate laid out like an invoice, often used to request a deposit or for customs. Neither is a demand for payment, and neither can be used to claim input VAT.
Should my quote include VAT?
If you are a VAT vendor, show clearly whether your prices include or exclude VAT at 15%, so the client knows the full amount they are agreeing to. If you are not VAT registered, do not add VAT to the quote. A quote is not a tax invoice either way.
Is a quote the same as an estimate?
People use the words loosely. A quote is usually a fixed price for a defined scope, while an estimate is an approximate figure that may change as the work progresses. Whichever you send, say which it is on the document.
