Client items

Every client's monthly services, on one invoice, on their billing day.

Add the catalogue items a client pays for to that client: a monthly support plan, a yearly licence, a once-off setup fee. On the client's billing day Rebill puts everything due on one invoice and sends it, or creates drafts for you to check first. Start someone mid-month and the first partial period is prorated. Change a price, swap a plan or end a service, and the next invoice follows.

Client items are part of Premium at R99 a month.

Billing that follows what each client actually has

One invoice per client

Everything a client has that falls due on the billing day goes on a single invoice, one line per item. No separate recurring invoice to keep in step for every service.

Monthly, yearly or once

Bill an item every month, every year, or once. A once item, such as an installation fee, lands on the next invoice and then stops by itself.

A billing day per client

Set a default billing day for the account, from the 1st to the 28th or the last day of the month, and give any client their own day.

Fair first months

A client who starts between billing days can pay for the days they had, added to their first full invoice, or start billing from the next billing day. Rebill shows the amount and the days before you save.

Prices that stay right

Change an item's price in the catalogue and every client on the catalogue price gets it on their next invoice. A client with their own price keeps it. Upgrades replace one item with another from a date you choose.

Sent, or drafts first

Send client item invoices automatically by email, and by WhatsApp as well if you choose, or have Rebill create drafts that wait in an invoice batch until you review and send them.

In one paragraph

How do I bill clients for monthly services automatically?

Assign the services each client pays for to the client, with a quantity, a price and how often it bills, and let the billing software invoice them on a fixed billing day. In Rebill these are client items: on the client's billing day every item that is due goes on one invoice, which is sent by email (and WhatsApp if you switch it on) or created as a draft for review. A client who starts mid-cycle is prorated by day, once-off fees bill a single time, and a catalogue price change reaches every client on the catalogue price at their next invoice. Client items are part of Rebill Premium at R99 a month.

Questions about client items

How are client items different from recurring invoices?

A recurring invoice repeats one fixed invoice on its own schedule. Client items belong to the client: each service is added, changed or ended on its own, and everything due on the client's billing day is billed together on one invoice. Both are on Premium and you can use both.

What happens when a client starts in the middle of the month?

When you add the item, Rebill offers two choices: prorate the first period, which adds the days from the start date to the next billing day to the first full invoice, or start billing from the next billing day. The dialog shows the prorated amount and the number of days before you save.

Can I charge a setup fee with a monthly plan?

Yes. Add the fee as an item that bills once. On a catalogue item you can also choose items to add with it, so adding the monthly plan to a client offers the setup fee on the same first invoice.

Can I check the invoices before they go out?

Yes. Set client items to create drafts for review in Settings, Automation. The drafts for each billing day are filed in a batch under Invoices, Batches, where you check them and send the batch.

Does client credit come off these invoices?

Yes, when Apply credits to recurring invoices is on in Settings, Documents, Client credits. Rebill then applies credit the client already has on account to each client item invoice it sends automatically.

Is it on the free plan?

No. Client items bill through the same automation as recurring invoices, which is part of Premium at R99 a month.

Bill every client for what they have, on the day they expect it.

Free plan. No card. Upgrade to Premium when you need it.
