How to invoice as a freelancer in South Africa
To invoice as a freelancer in South Africa, send a document that lists your services, the amount owed, your banking details and a payment due date. You do not need a registered company. Sole proprietors invoice under their own name or a trading name. If you are VAT registered, add your VAT number and charge 15% VAT.
What to include on a freelance invoice
- Your name or trading name and contact details
- Your client's name and contact details
- A unique invoice number, for example INV-001 or 2026-001
- The invoice date and a payment due date
- A description of the work, detailed enough that the client knows what they are paying for
- Quantity and rate, for example 10 hours at R500 an hour
- The total and your banking details with the invoice number as the payment reference
If you are VAT registered, the document must also say "Tax Invoice", show your VAT registration number, show the VAT amount separately and give the total including VAT. Numbering your invoices
SARS requires each invoice to carry a unique, sequential number. Pick one format and keep it: INV-001, 2026-001 or a per-client sequence. Do not restart numbering each year. Rebill numbers invoices without gaps for you. Read more on invoice numbering rules in South Africa.
Do freelancers need to charge VAT?
Not unless you are registered. VAT registration is mandatory once taxable turnover passes R1 million in any 12-month period and voluntary from R50,000 a year. Most freelancers starting out are not registered and invoice without VAT. Once registered, you charge 15% on top of your fees and pay it over to SARS, usually every two months, and you can claim back VAT on business expenses.

How to get paid faster as a freelancer
Three habits do most of the work: invoice the same day you deliver, put a payment link on the invoice, and send it on WhatsApp rather than email. Freelancers who do all three typically move from three to four weeks to a few days between sending and being paid.
- Invoice the same day. Every day between delivery and invoice is a day added to your payment time. Send within 24 hours of final delivery.
- Add a payment link. An EFT means logging in, adding a beneficiary and confirming by SMS, which busy clients postpone. A card link takes under a minute. Rebill adds a Pay Now button through Paystack, Yoco, PayFast or iKhokha.

- Shorten your terms. Clients pay at the deadline, not before. Net 7 beats Net 30.

- Day 14: a written demand with the amount, fee accrued and a final deadline.
