For private tutors and tutoring centres
Invoicing for tutors who bill parents every month
Send each family one invoice a month, in advance, with every child and subject on its own line. Rebill repeats it on the 1st, reminds the parents who forget and keeps a running balance for lessons that were missed or moved.
No account needed for the generator. Free plan, Premium R99 a month. Built in Cape Town.

Two children, one monthly invoice
The sample invoice is for a family with a Grade 10 learner doing maths and a younger sibling in Grade 8 doing Natural Sciences, four weekly lessons each. The parent is the client and each child is a line, with the sibling at a lower rate. The note sets the payment date and the 24 hour rule for missed lessons, so the conversation about a cancelled Tuesday is already settled.
Figures are examples, not a rate card. For context: Daily Maverick: inside South Africa's private tutoring market (September 2026).
Bill the month in advance
Tutoring is easy to give and hard to collect after the fact. Billing the coming month on or before the 1st means you are paid for the lessons before you teach them, and a family that stops paying stops getting lessons without an awkward conversation. Term billing works the same way: one invoice per term, with the number of lessons as the quantity.
A recurring invoice in Rebill Premium does this for each family. When a month has a school holiday or one fewer Tuesday, edit the family's recurring invoice before its next send date.
Families, siblings and who the client is
The person paying is the client, so in almost every case that is a parent, not the learner. Put each child on their own line with the subject, grade and number of lessons. Parents see what each child costs, you can give a sibling rate, and one payment settles the whole family. If a grandparent or an employer pays instead, make them the client and keep the learner's name on the lines.
Missed lessons, rescheduled lessons
Write the rule on the invoice so it is agreed before it is needed:
- Less than 24 hours notice from the family: the lesson is charged.
- You cancel: the lesson is moved, or credited on next month's invoice.
- Extra lessons before exams: added at the normal rate.
Credits stay on the family's account in Rebill and can be applied to the next invoice, so you never refund R350 by EFT.
Tutoring centres with more than one tutor
A centre has more families, more tutors and more questions from parents about what they owe. Premium includes up to 5 users, the client portal answers the balance questions without a phone call, and the revenue and ageing reports show which families are behind before the next term starts.
What tutors use in Rebill
Quotes, invoices and the client portal are on the free plan. Recurring invoices, WhatsApp delivery, card payment links and automatic reminders are on Premium, R99 a month.
- Monthly invoices on the 1st
- A recurring invoice per family on Premium, sent by email or WhatsApp on the day you choose. Edit it before the next send date when the lesson count changes.
- Statements for parents
- Parents open the client portal to see every invoice and payment, and download a statement for the year when a bursary or employer asks.
- Reminders and late fees
- Friendly reminders before and after the due date, and an optional late fee for families who are always behind.
- Card payments for busy parents
- A pay link on each invoice lets parents pay by card from their phone through Paystack, Yoco, PayFast or iKhokha.
VAT and private tutoring
Most private tutors are not VAT registered and send ordinary invoices with no VAT. Registration is compulsory only above R2.3 million of taxable supplies in 12 months, with voluntary registration open from R120,000. Education from registered schools and certain institutions is exempt from VAT, but private lessons usually are not, so a centre that grows should take advice before registering.
What a tax invoice must show: the SARS section 20 fields. Thresholds as SARS applies them from 1 April 2026, while the law change is finalised.
